A plain walkthrough of the free Google tools your nonprofit can use, the Google Ad Grant, and how to set it all up so it actually saves you time.
What most nonprofits leave on the table
Google for Nonprofits is free for eligible organizations, but the account often sits half set up. Files live in one person's Drive. There is no group structure, so access breaks every time someone joins or leaves.
The Google Ad Grant can give eligible nonprofits up to $10,000 USD a month in free Search ads. [[verify]] Many orgs have never applied, or applied and lost it because the account was not maintained.
Without organizational units and groups, a new board member does not inherit the right files, calendars, and access. Someone has to grant it all by hand, and usually misses something.
No reporting and no admin roles set up means you cannot see who has access to what, which matters when you handle donor or client information.
Sensitive personal or health data sometimes ends up on Google's US servers without anyone deciding that on purpose. Google does not offer Canadian data residency, so that can create exposure under BC PIPA and PIPEDA. Worth checking.

Honest about what should not go on Google
Google has no Canadian data residency. For sensitive personal or health information, Jake will tell you what to keep off Google and can set up Microsoft 365 with Canadian residency alongside it. Many nonprofits run both, and he will say plainly what belongs where.
